2025 Trailer Expo OKC Exhibitor Checklist  

Being prepared can make a huge difference in your overall success as an exhibitor. By preparing well in advance, you can ensure that you have all the necessary materials, staff, and resources to showcase your brand in the best possible light. This means you'll be able to make the most of your time at the event, connect with potential customers, and generate valuable leads for your business. So, take the time to plan ahead and come prepared to the 2025 #TrailerExpo - your bottom line will thank you for it! 

  • Purchase a Booth at the Trailer Expo - contact Kevin.Sander@natm.com for a link to purchase a booth for 10’x10’ booth spaces:

    • Trailer Manufacturers:

      •  $1,100 for NATM Trailer Manufacturing Members

      • $2,100 for non-member Trailer Manufacturing Companies

    • Supplier/Service Providers:

      • $1,400 for NATM Members

      • $2,800 for Non-Members

  • Register for the Trailer Expo - Purchasing a booth does not automatically register you and your booth workers for the show. Exhibitors receive 2 complimentary booth worker registrations per 10'x10' booth. Exhibitors can register for the show here. 

  • Hotel Booking - Book your room at the Omni Oklahoma City Hotel for $239.00 per night. Book your room here.

Deadline for NATM Rate: August 5, 2025.

Important: NATM has received reports of scammers posing as hotel booking agents. Please only book through official NATM channels to avoid fraudulent charges or lost reservations.

  • Participate in Mandatory Survey - All exhibitors must submit their information to the Move In/Out and Marshalling Survey by June 15. Click here for Survey

  • Electrical and Plumbing Services - Order your electrical services, outlets, and plumbing by clicking here

  • WiFi Orders - You will be able to purchase wireless internet upon arrival at the OKC Convention Center using QR codes onsite.

  • Shipping Instructions - Exhibitors can ship their boxes with the Event1-provided shipping labels. Shipping labels can be found here.

  • EAC Form – the Exhibitor Appointed Contractor form is available and due Sept. 10 with the General LIability Insurance Certificate . To access the EAC form, click here. 

  • Free Registration Codes for your Dealers - Let your customers and prospective customers know you will be exhibiting at the #NATMShow. Utilize your company-specific coupon codes to give free registrations to your dealers. Contact Catie.Rutkowski@natm.com for your code. 

  • Parking/Marshalling Lot Location and Fees:
    NATM is working with OKC Truck Parking as the location for trailer storage/parking and as the marshalling lot for move in.

      NATM exhibitors are required to call OKC Truck Parking directly to make parking reservations. Staffed 24/7.

NATM Trailer Expo Mobile App

  • Update your Company Listing in the NATM Trailer Expo Mobile App - Exhibitor contacts were emailed a custom URL that allows exhibitors to edit their company listing within the NATM Mobile App. Upload your company marketing materials, add your logo, and even set up special promotions or giveaways. The NATM Mobile App is set to go live in early July- make sure your profile is ready for showtime! Learn more about the Whova Exhibitor Guide here. 

  • Didn't see the custom URL email the first time around? No worries! Contact Catie.Rutkowski@natm.com to resend your custom Exhibitor Profile URL.   

Create a Plan for Lead Retrieval - Lead retrieval is now easier than ever for NATM Trailer Expo attendees! Attendees’ contact information can be accessed through the Whova Event & Conference App, available for download wherever apps are offered. To access lead retrieval, download the Whova app and navigate to the 2025 NATM Trailer Expo event. Once signed in using the email address provided during registration, scroll down to the “Exhibitor Hub” section. Click “Lead Retrieval.” Then, you can select either QR Codes or adding leads manually. Leads can be exported into a spreadsheet at any time by the booth Primary Contact by clicking the Export button.

Important: Don’t see the Exhibitor Hub? You may not have been added as a booth worker yet within the mobile app! The primary contact for each booth must add their booth workers to their company profile in the app. This step is critical to ensure all booth workers can access the lead retrieval feature and collect valuable attendee information seamlessly.
